Teams across estimating, project management, and marketing each saw AI opportunities, but without a shared framework for evaluating them, the question was always the same: where do we start? Varying levels of AI fluency, siloed data, and uncertainty around ROI were holding the organization back. Buffalo didn’t just need a roadmap. They needed working tools their teams would actually adopt.

Solution

Three AI solutions built on the systems Buffalo already uses, with more on the way

O3XO built three distinct AI tools, each targeting a specific workflow. An estimator assistant that interprets detailed Spec Documents and packages to surface key requirements directly from Procore. A closeout automation system that tracks vendor documents, detects billing readiness, and automates follow-ups across ~80 projects per year. And an RFP content engine that reuses core proposal content, summarizes past project experience, and organizes case studies and team bios to cut proposal effort in half. Each tool integrates with Buffalo’s existing Procore and Sage environment so adoption happens within existing workflows.

O3XO led Buffalo through a structured AI strategy workshop with 12 stakeholders across estimating, accounting, project controls, and operations. Two cross-functional teams mapped the full project lifecycle, surfaced friction points, and co-created use case concepts with clear success criteria. From there, the team prioritized two POCs, moved directly into build, and expanded to a third. Now the work is evolving toward connecting these individual solutions into an interconnected system spanning the full project lifecycle, with smart human-in-the-loop checkpoints at every stage.
